Cherry City Cyclists

Minutes of February 9, 2011 Meeting

Attendance:  Wayne Ainsworth, Eva Fallis, Cheryl and Gil Hopkins, Michael Jay, Vicky Ma, Mike Nagorka, and Steve Yoder.

Call to Order:  6:13 PM

Approval of Minutes: 

Minutes of January 12, 2011 CCC Meetings were distributed online for reading/review.  The minutes were approved as distributed.

Treasurer's Report: 

Checking account balance was $10,265.84.  Receipts for the 2011 Best of the Bay ride from August to present (registration and clothing purchases) totaled $720.00, compared to ~$1,200.00 this time last year.

Membership Report: 

The club currently has 41 members and 28 memberships.  Cheryl distributed an updated membership roster to Board members.

Ride Coordinator Report: 

Upcoming rides for February include Mines Road on the 20th, the 3 Bears/2 Bridges ride on the 26th, and the Chilly Chili ride on the 27th.  Thanks go out to Paul Armijo and Steve Yoder for leading some rides.

Steve passed out summaries of the award points members of the club have earned since the beginning of the year.  Lots were drawn to determine the points ride for January--the Pigeon Point ride was the "winner."

A new strategy for selecting the points ride was approved during the meeting.  An arbitrary date will be selected for next month's jersey ride; if a ride is held on that date, that ride becomes the month's jersey ride.  If no ride occurs on that day, the jersey ride for that month will be omitted.  The arbitrary date will alternate between Saturdays and Sundays for succeeding months to accommodate those who may have to work on one or the other of those days.  The jersey ride date for March will be the 19th.

Best of the Bay (B.O.B.) 2011 Planning:

Michael Jay has posted a link to the Western Wheeler's Sequoia Century on the CCC homepage to return the favor of the Wheeler's posting the B.O.B. on their homepage.

The date for the "get acquainted with the route" ride is tentatively scheduled for May 21st.

The Facebook page for the B.O.B. is up.  Michael Jay will put a link to it on the CCC website.  The Facebook page also has a link back to CCC's B.O.B. site.  To be done: ask people to put a reference to the Facebook page up on their Facebook Walls, and have people donate pictures to put up on the page.

Clothing:  Design is underway.  After some discussion, the Board decided not to have any additional B.O.B. clothing made.  CCC will sell the remaining inventory and focus on designing and buying new CCC club clothing.  Club members will be asked to place a 50% deposit for any items they want to order.  The membership will be notified as soon as the design is finalized to allow collection of deposits as quickly as possible.

Business Cards/Fliers:  Vicky has pricing for business cards and 8½ by 11 fliers, (1000 full color business cards for $65.00, 100 full color 8 1/2 X 11 fliers for $70.00)but the design has yet to be finalized.  She said that she would try to produce a final draft of the design for distribution to the Board by Feb. 20.  If approved, they could be ordered that week.

Mike N. reported that several clubs agreed to  post a link to CCC's B.O.B. website in return for listing their major supported ride (e.g., Sequoia Century) and a 10% discount for their members who register to ride the BOB.  One club said no, and two emails failed delivery.

Cheryl may have a sponsor for ice (Glacier Ice in Fremont).  If this sponsorship comes through, ice chests will need to be available the day before the B.O.B. and people will have to go to Fremont to pick the ice up.

A meeting to discuss the B.O.B. will be held at Vicky's on Feb. 23 at 5:30 PM.

P.O. Box Status:

The new P.O. box work is complete except for the delivery of the check to the post office and the pick up of keys.  Club business cards and the club website will need to be updated to reflect the new address.

New Business:

1.  Commercial Endorsements--the Board agreed that commercial product endorsements, especially those not concerning bicycling directly, should not be a part of club activities.

2. By-laws review--any review of the club by-laws and possible changes will be postponed until after the B.O.B.

3.  Consolidation of Board and General CCC meetings--many times this happens due to time constraints anyway, so the issue was tabled.

4.  Dropbox? file transfer--Michael Jay discussed the use of Dropbox as a means of sharing files between Board members.  The technology keeps a copy on remote servers accessible at all times and also performs synchronization if a user has the client software installed on his or her computer.  Michael will demonstrate it at the Feb. 23 B.O.B. meeting.

5.  Club Christmas Dinner:  The Board approved a motion to reserve La Vite in Pleasanton again, except for December 3rd instead of the 10th.  The 10th was already reserved by a larger party.

6.  Club-affiliated bike shops:  Livermore Cyclery (or some employees there) do not know that Cherry City is supposed to receive a discount.  We should also add Endless Cycles in Castro Valley to the list--they give us a discount and will provide mechanical assistance in Sunol during the B.O.B.
